Resource
It is also possible to add the estimated time that the team should use to finalize the job.
If the resourse is attached to the job history, this will show who finalized the job. If time has been registered, this will show how long the job took to finalize.
Keeping an overview of upcoming jobs is important, and therefore it is important that the users can keep track of the jobs in the job list that belongs to them. The best way to do that is to use resources. When a resource is added to the job, the users can save job lists that only shows the jobs that belongs to them.
When the functionality of resources is being used, activating the option “Resources mandatory” is recommended. By doing so, it is secured that the job will be assigned.
It is not necessary to use hour registration when using resources. If you at some point wish to gain an overview of the estimated time use to finalize the maintenance, simply type in the hours when adding the resource.
Assignee
A common reason for using Assignees instead of, or together with, Resources is when a Resource represents a group or team, but you also need to specify who within that team is responsible for carrying out a particular job.
An Assignee works similarly to a Resource, but is assigned only to the specific occurrence of the job. This means that the Assignee is not automatically carried over when a planned job is generated again. In this sense, the Assignee can be considered a temporary resource for a specific job occurrence.
When adding an assignee to a job, it is possible to add a Start Time and End Time for the job.
If a Start and End Time are added to the assignee, the job will also appear on their Calendar:
Example of using both Resource and Assignee on a job
A vessel has three engineers who can carry out a particular maintenance task. The planned job is assigned to the Engineers Resource, indicating that the engineering team is responsible for the job.
For the current occurrence, however, we want to specify that Engineer Martin will carry out the work. We therefore assign:
- Resource: Engineers
- Assignee: Engineer Martin
The Engineers Resource remains associated with the planned job, while Engineer Martin is assigned only to this specific occurrence.
Using Assignees in this way also provides more detailed information for Analytics and Dashboards. For example, it can help provide visibility into how work is distributed among individual crew members and support planning around availability, such as leave or other periods when a crew member is unavailable.
