Procurement overview and flow
The procurement module helps you manage the complete purchasing process for goods and services. It provides a structured workflow that enables vessels, sites, warehouses, and office personnel to request, source, order, and receive items while maintaining visibility and control throughout the process. SERTICA's procurement functionality is integrated with maintenance and inventory processes, ensuring that purchasing activities support operational requirements efficiently and consistently.
The process consists of the following steps:
- Setup (Legal Entities and Financial Dimensions)
- Configure the legal entities, companies, and financial dimensions used throughout the procurement process. This ensures purchasing transactions are assigned to the correct organizational and financial structures.
- Creation of Requisitions (including setup)
- Create requisitions to request the purchase of goods or services. Requisitions represent the operational need and initiate the procurement workflow.
- Creation of Requests for Quotation (RFQ)
- Generate RFQs from approved requisitions to obtain pricing, availability, and delivery information from one or more suppliers before placing an order.
- Creation of Purchase Orders
- Create Purchase Orders based on approved requisitions and supplier quotations. The Purchase Order serves as the formal purchasing document used to order goods or services.
- Approval of Purchase Orders
- Review and approve Purchase Orders to ensure purchasing decisions comply with internal policies, budgets, and approval requirements before submission to the supplier.
- Submission of Purchase Orders
- Submit approved Purchase Orders to suppliers using the configured communication method. This formally initiates the purchasing agreement between the organization and the supplier.
- Receipt of Purchase Orders
- Register the receipt of delivered goods or completed services against a Purchase Order. This provides visibility into delivery status and helps complete the procurement process.
